INVITATION TO BID

CRUSHED GRAVEL AND OTHER PRODUCTS

April 1, 2026

 

The Town of Barnstead is accepting sealed bids for the purchase of 1” Crushed Gravel, 2” Stone, and Erosion Stone (Rip Rap) 6”-12” for 2026 and 2027.   Bid requirements are as follows:

1.   Bids must be submitted in a sealed envelope which is clearly marked “Crushed Gravel Bid”.

2.   The dead line to submit a bid is 4:30 p.m. on Tuesday, April 28, 2026 at the Barnstead Town Hall – Selectmen’s Office, 108 South Barnstead Road, Ctr. Barnstead, NH 03225 and will be opened at the Selectmen’s Meeting that evening.

3.   Bids must include:

(a)  Guaranteed price per yard or ton delivered to the Barnstead Highway Garage, 23 Beauty Hill Road (Specify delivery vehicle size).

(b)  Guaranteed price per yard or ton “at the pit” (not delivered).

(c)  Pit location (s) ____________ ; Hours of operation; ______ and Days open _________.

(d)  Estimated dates when no deliveries will be available, (if applicable); __________

(e)  5 gallon samples of gravel, with buckets clearly labeled with supplier’s name; __________

(f)  Certified laboratory test results that materials meet or exceed the NHDOT specification for 1 inch crushed gravel; ___________________-

(g)  Maximum delivery response time (from time of order being called in); __________

(h)  A notation of any product limitations or deviations from these specifications.

(i)   Include a price list of guaranteed prices for; 3” Crushed Gravel, 1” Stone and Loam.

4.   The Town of Barnstead reserves the right to inspect pits and determine if samples provided match in quality to visit pits supplies. Although bid prices must be guaranteed through 2026 and 2027, the Town also reserves the right to cancel at any time if the quality of the product or customer service substantially diminishes, as determined solely by the Highway Agent.

5.   The Town reserves the right to accept or reject any or all bids for any reason whatsoever in the best interest of the Town. The Town reserves the right to negotiate and / or request additional information with selected vendors. The town reserves the right to consider such factors as: Quality, Availability, Reputation and other items in addition to the price.

6.   Bids must be signed by a duly authorized person.

7.   Payment for deliveries received by the Town shall be made upon invoice within thirty days.

8.   The estimated quantity to be ordered on an annual basis is 6,000 tons (4,000 yards) but actual quantities to be ordered may be substantially different.

9.   It is anticipated that the successful bidder will be notified by April 29th, 2026 and initial orders for materials may be placed at that time with deliveries expected within seven days.

10. Contractor must submit a certificate of liability insurance for each year.
