Recreation and Cultural Arts Administrative Assistant, Town of Littleton New Hampshire

The Town of Littleton New Hampshire is currently searching for a Recreation and Cultural Arts Administrative Assistant. This position is to provide administrative support to the Recreation and Cultural Arts Director. This position is part of the Town’s Collective bargaining Agreement (CBA) with the AFSCME Support Staff Agreement. This is a part time opportunity not to exceed 29 hours per week.

General Responsibilities

The main function of the Administrative Assistant is to aid with coordinating, planning, and executing Opera House, Parks and Recreation and Town of Littleton sanctioned events. The Administrative Assistant would report directly to the Recreation and Cultural Arts Director. The Administrative Assistant will work directly with other community and town officials to include vendors, town employees, community members, business owners and tourists. This is a highly visible position, and the individual occupying this position must be able to have constructive and collaborative discussions in order to fulfill the job requirements outlined in the formal job description.

Essential Work

*Answering incoming phone calls, provide assistance or direct calls to the appropriate party.

*Maintain an accurate calendar of events for all spaces and venues within the discretion of the department.

*Maintain accurate records of all rental contract agreements and certifications of liability insurance.

*Maintain accurate records of Special Event Applications.

*Responsible for handling all town funds and tracking them appropriately.

*Maintain the cleanliness of the Opera House.

*Provide set up, break down and trash removal of rental spaces upon request.

*Report any questions or concerns to the Recreation and Cultural Arts Director.

Required Knowledge

*Knowledge of Cultural Arts and Event programing.

*Experience in planning, organizing, promoting and executing events.

*Experience with social media platforms such as Instagram, Facebook, and Word Press.

*Strong Leadership skills including good financial practices including budgets, deposits, rental income, 

   Fundraised income and insurance requirements.

*The ability to understand and follow written and oral instruction, sometimes under time -sensitive deadlines.

*Ability to maintain local and state safety rules and regulations.

*Availability on evenings, weekends, and on calls as needed is required.

Experience

*Degree in Business Administration, Marketing or Project Management is preferred however, High School  

   Diploma or the possession of a GED is acceptable upon experience.

*Valid driver's license and the ability to pass a criminal background check are required.
