Executive Secretary/City Manager & Mayor

Are you an experienced administrative professional who thrives in a dynamic environment where no two days are the same?  The City of Keene is seeking an Executive Secretary to provide exceptional executive-level support to the City Manager and Mayor.

This position plays a vital role at the heart of city operations—supporting communication, coordination, and collaboration across departments, elected officials, and the community we serve.  As the Executive Secretary, you’ll be the organizational backbone of the City Manager’s Office.  You’ll manage complex administrative tasks, safeguard confidential information, and serve as a trusted liaison between the City Manager, Mayor, City departments, and external stakeholders. Your work will directly impact how effectively the City connects with residents, businesses, and community partners.

 

What You’ll Do:

As the Executive Secretary, duties include (but not limited to): 

  • Provide high-level, confidential administrative support to the City Manager and Mayor.
  • Coordinate communications across City departments, citizen groups, and state and federal officials.
  • Manage schedules, appointments, and meetings for the City Manager and Mayor including logistics, agendas, and materials.
  • Draft, edit, and manage official correspondence, proclamations, reports, and communications.
  • Serve as a point of contact for inquiries, responding to questions, resolving issues, or connecting individuals with the right resources.
  • Maintain and enhance record management systems and oversee document retention processes.
  • Assist in preparing and monitoring budgets, coding invoices, reconciling accounts, and managing related administrative finances.
  • Support community engagement efforts by preparing press releases, public notices, and online updates.
  • Coordinate and attend meetings, events, and special projects (occasionally outside regular business hours).
  • Support legislative and research initiatives that impact City operations.

 

What We’re Looking For:

We’re searching for a detail-oriented, highly organized professional who demonstrates exceptional communication, discretion, and initiative.  The ideal candidate will have:

  • A bachelor’s degree, or an associate’s degree in office management or related field, plus 3-5 years of office administration or management experience, preferably in government or public administration.
  • Strong writing, editing, and interpersonal skills.
  • A demonstrated ability to handle sensitive and confidential matters with professionalism.
  • Proficiency in modern office technologies, including Microsoft Office Suite, digital recordkeeping systems, and communication tools.
  • Exceptional organizational skills and the ability to manage multiple priorities in a fast-paced environment.

Pay and Benefits:

This full-time position offers a competitive pay range of $29.69- $37.00 per hour and will also receive an attractive benefits package which includes low deductible/low-cost health insurance, low-cost dental insurance, State of NH Group I retirement, and other benefits such as life insurance, disability, and paid time off.  Municipal employees may also qualify for the Public Service Loan Forgiveness (PSLF) Program.
