Grounds Care and Maintenance

 

The Town of Newington, NH Cemetery Trustees are seeking proposals for a three-year agreement for GroundsCare & Maintenance services for the Town beginning on April 16, 2026.

Sealed proposals will be received by the Cemetery Trustees at the Newington Town Hall no later than Monday, April 14, 2026, at 12 noon.  Three copies of the bid documents are required.

All sealed envelopes containing proposals shall be clearly marked CEMETERY GROUNDS CARE SERVICES PROPOSAL – ATTENTION NEWINGTON CEMETERY TRUSTEES and mailed or hand delivered to 205 Nimble Hill Road, Newington, NH 03801.   

Include as an attachment, a current reference list including at least 3 references with telephone numbers and contact  persons. Municipal clients are preferred references.

The Town reserves the right to reject any and all parts of a proposal, or all proposals; to waive informalities and technicalities, and to accept that proposal which the Town deems to be in the best interest of the Town, irrespective of the lowest bid amount.

Upon a written 30-day notice, either party can end the terms of the contract for any reason.

Compensation: State the total bid amount annually for grounds care & maintenance services, and confirm that invoices will be submitted after two weeks of work is complete. Terms will be Net 30.   An itemized account of the nature and extent of the work performed shall be represented in the invoice.

Relationship & Indemnification:  State that the relationship between contractor and town shall be as an independent contractor, and that the contractor shall hold the Town, its agents, servants and employees harmless, at the contractor's sole expense, to any liability or legal proceeding occurring as a result of the contractor's action (s) or omissions, including injury, death, property damage, or any associated expenses including costs of defense and reasonable attorney 's fees.

Certificates of insurance must be submitted to the Town no less than 20 days after the signing of the contract identifying the town as a co-insured and that the Town will be notified within 15 days in the event of loss or change in coverage or conditions or amounts of coverage.

Types of insurance will include:

Liability insurance for bodily injury in the amount of $1,000,000 per occurrence, public liability insurance with a comprehensive general form to include, without limitation, Premises, Operations, Completed Operations, Project, Property Damage, Blanket Contractual Insurance, and Personal Injury.

 Workers’ Compensation Insurance in accordance with State law.

Errors and Omissions Insurance with a $1,000,000 combined single limit, Automobile insurance written with a comprehensive form including coverage for owned,  hired  and non-owned vehicles. The limit for any one accident will be $1,000,000.

Town of Newington Cemetery Grounds locations:

Town Cemetery inside the stone and fence boundaries to include trimming around stones and stone walls/fencing.

Proposals should include specifications on how the vendor will care for and maintain the Town Cemetery.  At a minimum, vendors need to include their planned approach to the following maintenance functions:

  • Mowing plan at the cemetery
  • Spring and fall clean-up
