Position Title: Administrative Assistant to the Dept of Building Safety

Job Summary: The Administrative Assistant provides comprehensive administrative and customer service support to the Building Inspector and all Inspectors within the Department of Building Safety. This role ensures smooth operations of the department by handling various clerical tasks, managing communication, and supporting inspections. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to provide high-quality customer service.

General Responsibilities (illustrative only and not all inclusive):

  • Maintain and update digital and physical records for all ongoing construction projects within Town. 
  • Maintain department files, reports, and plans. 
  • Process and file permits, applications, and other related materials accurately. 
  • Collect and process revenue from permits fees and ensure proper deposits are made to the Town Clerk’s office
  • Handle, prepare, and submit all incoming and outgoing correspondence for the Building Department, including phone calls and emails 
  • Maintain a level of confidentiality, following right to know laws and operations of the department and associated offices
  • Order and keep track of office supplies and other departmental receipts 
  • Effectively handle inquiries from the public, public and private organizations regarding building, zoning, site review, subdivision, and related matters
  • Communicate with Health, Fire, and Planning departments as needed 

Required Special Qualifications/Licensure: 

  • Graduated from an accredited college or university with an Associate’s degree in a related field and some experience in public service
  • Any equivalent combination of education, experience, and training which provides the knowledge, skills, and abilities necessary to perform the work 

Required Knowledge, Skills, and Abilities (at time of appointment):

  • Proficiency in computer word processing, spreadsheets, databases, typing, and all municipal office functions
  • Ability to prioritize and meet deadlines
  • Ability to maintain detailed files and records accurately and efficiently 
  • Ability to review a variety of documents and forms for completeness and accuracy
  •  Ability to understand and interpret laws, ordinances, rules, and regulations 
  • Strong organizational skills with the ability to work independently and manage multiple tasks 
  • Strong communication skills, both written and verbal 
  • Excellent customer services skills, with a positive, helpful attitude at all times 
  • Ability to exercise tact and maintain poise when resolving disputes or handling difficult situations with the public or personnel 

Essential Physical Requirements: 

  • Sufficient clarity of speech and hearing or other communication capabilities, with or without reasonable accommodation, which permits the employee to communicate effectively.
  • Sufficient vision or other powers of observation, with or without reasonable accommodation, which permits the employee to function in performing inspections.
  • Sufficient manual dexterity with or without reasonable accommodation, which permits the employee to function in operating a computer or other necessary equipment.
  • Sufficient personal mobility and physical reflexes, with or without accommodation, which permits the employee to function in having access to all areas of the town.
  • Work surface includes office, desk, chair, and off-site construction locations. Various outdoor surfaces, required to work in all types of weather conditions, work sites, and confined spaces.
