Planning Office Manager

A person in this position performs administrative work associated with the operation of the Planning Office and provides administrative support to the Planning Board and its various subcommittees. Works under the direct supervision of the Town Planner who outlines departmental policy, makes work assignments, and evaluates work. Performs duties with a high degree of independence, exercising judgment and excellent customer relations skills in answering inquiries.

1.     Assists the Town Planner in achieving the goals and objectives of the Planning Office; oversees the operation of the day‑to‑day functions of the Planning Office.

2.     Assists the public with the application process and the processing of Planning Board applications, including but not limited to the review of information for accuracy and completeness before acceptance.

3.     Responsible for taking minutes for the Planning Board, Plan Review Committee, Master Plan Implementation Committee, CIP Committee, and any other related subcommittees.

4.     Provides administrative support to the Planning Board, Plan Review Committee, Master Plan Implementation Committee, CIP Committee, and any other related subcommittees; prepares public notices, agendas and correspondence; provides follow-up information and assistance as needed.

5.     Prepares Legal Notices and Abutter Notices for public notification in accordance with regulations and statutes.

6.     Responsible for the maintenance of documents, procedures, and files associated with the Planning Office and Planning Board.

7.     Maintains financial records for application fees, escrow accounts, and performance guarantees.

Qualifications: Minimum of an Associate’s Degree (Bachelor’s Degree preferred) in an administrative, business, law, or related field, plus five years progressively responsible administrative experience. 

Experience with municipal operations, including matters relating to planning and zoning, is preferred;

or any combination of education and experience that would provide the required knowledge, skills and abilities.
