The City of Lebanon has an opening for a full-time Executive Assistant in the City Manager’s Office. The position is a non-union, non-exempt position that reports to the Deputy City Manager & City Manager. Hours are Mon.-Fri., with an alternating schedule of 8:00 am to 4:00 pm, or 8:30 am to 4:30 pm. Attendance at evening events & select City Council meetings required. The hourly range is $27.32 - $36.88 (DOEQ). Wages are enhanced with health, dental, and life insurance; short-term & long-term disability insurance; vacation, sick, & personal time; and enrollment into the New Hampshire Retirement System.
Position Overview: The Executive Assistant is responsible for providing executive-level administrative support services to the Deputy City Manager and City Manager. This position has frequent contact with the public, City Council members, department heads, employees, attorneys, the media and other outside agencies and representatives. Subsequently, a high level of tact, diplomacy, professionalism, confidentiality, judgment, attention to detail and superior organizational and communication (written & verbal) skills are required.
Responsibilities include: The Executive Assistant is responsible for coordinating City events such as the Citizens Academy. Event planning responsibilities require a highly organized individual to coordinate activities with the community, department directors, outside agencies and may include staff and employees. The Executive Assistant assists in the development of City Council agendas which requires gathering of supporting information, reports, maintaining lists of tasks and deadlines, assisting in implementing City Council actions necessitating proficient time management skills. This position requires exceptional customer service skills, adapting to a fast-paced environment, multi-tasking and focusing on the task at hand with accuracy. Attendance at night meetings for certain public events and for selected City Council meetings throughout the year is required.
Other administrative duties include (but are not limited to): Providing administrative support for licensing City property – assisting with the intake of applications, collecting fees, notifying the appropriate departments, ensuring certificates of liability are submitted/on file, verifying vendor licensing with State agencies, and maintaining the calendar of events. Scheduling appointments for the City Manager and Deputy City Manager, preparing reports and correspondence, researching information, answering phone calls, responding to citizen requests, and performing a variety of other administrative functions as assigned.
Recommended Requirements:High School diploma required; two-year Associate Degree in public or business administration or related field preferred.
Three to five years in an executive level secretarial or administrative position, with two to five years in municipal government highly preferred. Knowledge of municipal laws, government and operations required. Proficiency with Microsoft Office software (primarily Word, Outlook, and Excel) is required. Preference will be afforded to those who have prior municipal experience.
